Why your business needs ERP and not accounting software.
Friday December 2, 2016

Often in business it’s easy to just carry on doing what you have always done because, well that’s the way it’s always been. But if you take a step back and look at the processes and systems you have in place, you may find that you have outgrown them and now they are holding you back.

One of the processes that you can’t afford to let this happen to is your accounts.

We understand that every business is different and there is no single, obvious indicator to say that you need to change to an ERP System right away. It’s often a combination of factors and over our time as Sage ERP experts we have seen many similar frustrations and difficulties within companies that have been overcome by switching to ERP Software. That’s why we have written this short post to share some of our own wisdom and help you to identify when you might need to make a change.

You don’t have easy access to important information when you need it.

It’s time for the accounts meeting with the MD, they want to know the answers to all the key performance metrics and it’s your job to deliver them. What was the average sales margin this month compared to last? How many orders is the business taking per day? What does the profit and loss look like? If you’re not using a proper system, or worse a spreadsheet, generating these reports can be a timely and frustrating task.

With the pace of business ever increasing it has never been more important to have all of the company data stored in one place. ERP software integrates every department, giving you a holistic view of the business. Not only will an ERP system help you with your reporting, but it will also allow employees from all departments access and input information they require in order for them to get their job done more efficiently.

Simple accounting tasks take a long time.

This is often the number one catalyst for a business to make the switch over to an ERP System. The accounts team are relying on a paper based process of sending out invoices and sales orders and then wasting hours every week inputting this data into an accounts system and then having to input that same information into a separate sales system. With an ERP Solution this can all be done quickly and efficiently through one portal.

It’s the same story with financial reporting, if it is taking you forever to reconcile financial information across multiple systems and spreadsheets then an ERP System will make life a lot easier. Having all your financial information in one, easy to access place, your accounting staff won’t have to waste time inputting and cross-posting data meaning they will not only be far more productive but, we suspect, far happier too.

Customer experience, sales and customer retention rates are suffering.

When your business systems are not integrated properly and sales, inventory and customer data are kept in different places, serious problems are likely to arise.

Managing inventory can be a tricky task and ensuring products are in the right place at the right time is vital to the success of any business. If you run out of a popular product sales will of course halt until that product comes back into stock. In the meantime, another customer has called in to find out when their last order will arrive and your staff can’t access the required information to see if it has been shipped, or possibly if that product is even in stock, because none of the software or processes are communicating with each other. This leads to unhappy customers and staff.

This can all be avoided with an ERP Solution, every department has one system that is used for all the information in the business. Field sales reps can access the information they need though an app on their phone, warehouse staff have access to the stock levels and the customer care team can easily see a customers order and shipping information, giving synergy and integration from sale, to delivery and retention.

There are many ways a modern business can be integrated better with the use of a robust ERP System, but for most the value becomes truly apparent when the customer journey is considered. This level of integration has proven statistics to show increased productivity and revenue through both new and retained business.

So, if you think your business may have outgrown its current systems and procedures then it’s probably time to consider an ERP Solution.
